Welcome to PingMeDoc HealthTech Private Limited (“PingMeDoc,” “we,” “us,” or “our”). This Refund Policy outlines the terms and conditions under which refunds will be issued for services purchased through our platform, including domestic and international services.

By using our platform, you agree to the terms outlined below.

1. Scope of the Refund Policy

This policy applies to all paid services provided by PingMeDoc, including but not limited to:

  • Medical certificate issuance
  • Online doctor consultations
  • Health report assessments (including AI reports)
  • Prescription issuance

2. Refund Eligibility

Refunds may be provided under the following conditions:

  • Certificate Not Issued (Domestic Clients): If a certificate is not issued due to the patient’s ineligibility or at the discretion of the doctor, a refund will be provided after deducting a convenience fee of ₹199/-.
  • Certificate Not Issued (International Clients): If we are unable to issue a certificate, international clients will receive a full refund minus a flat processing fee of $25 USD.
  • Service Cancellation by PingMeDoc: If a scheduled service is cancelled by PingMeDoc prior to the consultation or certificate issuance, a 100% refund will be granted.

Non-Refundable Services: If a service is marked as “non-refundable” at the time of purchase, no refund will be issued under any circumstance.

3. Refund Processing

  • Approved refunds will be processed within 8–10 working days.
  • Refunds will be credited to the original method of payment.
  • For international transactions, PingMeDoc is not responsible for currency conversion loss, foreign transaction charges, or gateway processing fees incurred during refund processing.

4. Convenience & Processing Fees

  • A convenience fee of ₹199/- (India) or a flat $25 USD (International) will be deducted from eligible refunds.
  • These charges cover administrative and processing costs associated with the service request, even if the certificate is not issued.

5. Non-Refundable Conditions

Refunds will not be granted under the following conditions:

  • Certificate or prescription has already been issued and delivered.
  • Consultation has been successfully completed, regardless of certificate outcome.
  • User submits falsified, tampered, forged, or misleading documents.
  • User fails to comply with PingMeDoc’s terms and instructions, including identity verification.
  • Refund is requested after 7 days from the date of transaction or service delivery.
  • Third-party rejection (e.g., RTO, employer, embassy) of certificates due to internal formatting or policy requirements.
  • Refund is requested due to change of mind after service is scheduled or in progress.
  • Repeated refund misuse or suspected fraudulent behavior.

6. Service-Specific Conditions

Medical Certificates: Once a certificate is issued and delivered (via email, portal, or WhatsApp), the service is deemed completed and non-refundable, even if the user later finds it unusable due to third-party requirements.

Consultations: A consultation is considered fulfilled if the doctor has reviewed the case and provided a medical opinion. No refund will be given after this point, even if the user disagrees with the doctor’s decision.

Partially Completed Services: If part of the service was completed (e.g., consultation done but no certificate issued), PingMeDoc may, at its sole discretion, grant a partial refund, after applicable deductions.

7. Definition of Service Delivery

A service will be considered “delivered” if any of the following has occurred:

  • The medical certificate has been issued and sent to the registered email, WhatsApp number, or made available for download.
  • The consultation has been conducted via call, chat, or video, and a medical opinion has been given.
  • Any part of the service requiring a doctor’s time, review, or action has commenced.

8. Refund Request Process

To request a refund, users must contact us through either of the following:

Include your order ID, registered contact number, and a brief reason for refund request.

Important: Refund requests must be raised within 7 calendar days of service delivery. Late requests will not be entertained.

9. Fraud and Abuse Policy

PingMeDoc takes fraud and misuse of healthcare services seriously. In case of:

  • Fake ID submissions
  • Repeated refund exploitation
  • Misuse of free trials or discounts
  • False claims against valid services

PingMeDoc reserves the right to deny future service, withhold refunds, and report such activity to legal authorities.

10. Modification of Policy

PingMeDoc reserves the right to modify, update, or amend this Refund Policy at any time without prior notice. The most recent version will be published on our website. Continued use of our platform constitutes acceptance of the latest policy.
