PingMeDoc™ Collect

Questions, answered from how the product works today.

General

What is PingMeDoc Collect?
PingMeDoc Collect is a network for home blood-sample collection. A diagnostic lab posts a patient's home collection. A verified phlebotomist takes it, visits the patient, collects the sample and delivers it to the lab. PingMeDoc runs the workflow, the verification, the money and the operational review.
Is PingMeDoc Collect a diagnostic laboratory?
No. Collect does not test samples or issue reports. The lab that posts the collection performs the test and keeps the relationship with its patient. Collect handles the collection visit and the handover to that lab.
Can a patient book a home collection through Collect?
No. Collect is used by labs and phlebotomists. A patient books with their lab, and the lab posts the collection. Patients who want to book a test with PingMeDoc directly can use the lab tests section of the site.
Where is Collect available?
A collection can be taken wherever a verified phlebotomist covers the patient's pincode. Coverage grows as phlebotomists join, so it differs from area to area. If nobody covers a pincode yet, the job stays open and PingMeDoc operations are alerted.

Labs

Who can register as a lab?
Diagnostic and pathology labs, and hospitals or clinics that run their own lab and take home collections. You need a current lab registration or licence to be verified.
How is a lab verified?
You enter your lab details and upload your registration or licence. A NABL certificate and GST certificate are optional. PingMeDoc staff check the document against the lab name and address and call the contact number before the lab is verified.
How do I post a collection?
Open New collection in the lab portal and enter the patient's name and mobile, the address and pincode, the date and time window, the tests, the tubes, whether fasting is required and any cash to collect. The form can suggest tubes from the test names.
When does a phlebotomist see patient details?
Only after taking the job. Before that they see the area and pincode, the time window, the number of tests, the tubes, the fasting requirement, the cash to collect, the lab to deliver to and the earning. Name, phone, address and test names appear once the job is theirs.
What happens if nobody takes the collection?
The job stays open. After a waiting period the portal suggests adding a boost, which goes entirely to the phlebotomist, and PingMeDoc operations are alerted. Collect does not guarantee that every job is taken.
Can I cancel a collection?
Yes, until the sample has been drawn. Cancel as early as you can: once a phlebotomist has taken the job, a late cancellation costs them a trip, and frequent late cancellations are reviewed by PingMeDoc.
What if the sample has a problem?
Choose the problem when you confirm receipt: haemolysed, unlabelled, mislabelled, not enough sample, wrong tube, leaked, clotted or delivered too late. PingMeDoc reviews it and adjusts the charge where the collector was at fault.
Can I request a recollection?
Yes. A failed visit, a cancelled job or a completed job with a sample problem can be posted again with a new date and window. It returns to the pool as a new job.
Can my team use the account?
Yes. The lab owner creates an invite link for each staff member. The link works once and expires in seven days. Staff can post and follow collections; the lab profile stays with the owner.
Where can I see my statement?
Under Account and supplies in the lab portal. It lists each completed collection fee, cash collected at the door, supplies orders and payments, with the running balance.

Phlebotomists

Who can join as a phlebotomist?
People qualified to draw blood: DMLT, BMLT, B.Sc MLT, an MLT certificate course, or nursing (GNM, ANM, B.Sc nursing). You choose your qualification when you register and upload the certificate.
What documents are needed?
Your photo, an ID proof (Aadhaar, PAN or driving licence) and your qualification certificate. An experience letter, a police verification and a Hepatitis B vaccination record are optional.
How does verification work?
PingMeDoc staff check that the photo matches the ID and that the certificate names the same person, and call your mobile number once. If a document is rejected you are told why, so you can fix it and send it again.
Can I choose my working hours?
Yes. You set your weekly hours and the pincodes you cover, and you go online or offline whenever you like. Nobody assigns you a job.
How do I receive jobs?
Open collections in your area are listed in the app, and new-job alerts go out on WhatsApp. People who are free in that window, cover that pincode and have a better standing hear first.
Do I have to take every job?
No. You take only the jobs you want. If you take one and cannot go, give it back before you reach the patient so someone else can take it. Give-backs are limited each day and count against your standing.
When do I see patient information?
After you take the job. Until then you see the area, the time window, the tubes, the fasting requirement, any cash to collect, the lab and what you earn.
What happens if the patient is unavailable?
Mark the visit as Could not collect and choose the reason, such as patient not available or address not found. The lab sees the reason and can post the job again.
What if the patient is not fasting?
If the job needs fasting and the patient ate less than 8 hours ago, do not draw. Mark the visit failed with the reason Patient not fasting.
What if I cannot collect the sample?
The rules allow two attempts. If the second fails, stop and mark the visit failed with the reason Could not find a vein. A failed visit is not paid as a completed collection.
What is standing?
A score from 0 to 100, shown with the reasons that lowered it. No-shows, late starts, jobs given back, sample problems reported by labs and arrivals without the visit code bring it down. A higher score means you hear about new jobs first.
What happens if I report an incident?
The app shows what to do straight away for that kind of incident, and PingMeDoc support calls you. Reporting an incident is not a penalty.

Collections

What statuses does a collection go through?
Waiting for a phlebotomist, phlebotomist assigned, on the way, at the patient, sample collected, delivered to lab and completed. A job can also end as cancelled or could not collect.
Does Collect show the phlebotomist on a map?
No. Collect shows status changes, not a live location. The lab sees who took the job and can call them from the job card.
How is the patient told about the visit?
The lab tells its patient that a phlebotomist from PingMeDoc Collect is coming on its behalf. When the job is taken, the patient receives the 4-digit visit code on WhatsApp.
What if the lab forgets to confirm receipt?
A delivered job that the lab has not confirmed is confirmed automatically after 24 hours, so the phlebotomist is not left waiting.

Safety

How does Collect check that the right patient was visited?
The patient receives a 4-digit visit code and the phlebotomist enters it on arrival. Before the draw the phlebotomist confirms the patient's full name and age against the job.
Is a phlebotomist suspended automatically after a flag?
No. A flag is a prompt for PingMeDoc operations to look. A person makes the decision, after a phone call.
Does Collect replace my lab's quality system?
No. Collect adds checks around the home visit and the handover. Your lab's own acceptance criteria, protocols and quality management still apply to every sample.

Money

How are lab fees calculated?
The standard fee is ₹199 for each completed collection. A cancelled or failed visit is not charged as a completed collection. If you add a boost to a job, the boost is added to your fee and goes entirely to the phlebotomist.
How much does a phlebotomist earn?
The standard earning is ₹150 for each completed collection, plus any boost the lab added. The amount is shown on the job before you take it and is added when the lab confirms receipt.
How does cash collection work?
The lab enters the cash to collect when posting. The phlebotomist collects that amount at the door and records it. The cash belongs to the lab, so it is set off against what the lab owes PingMeDoc and against what PingMeDoc owes the phlebotomist.
What is cash held?
Cash a phlebotomist collected from patients and still holds. It is deducted from their earnings when the balance is worked out.
How do payouts work?
Earnings build up in the phlebotomist's balance. Payouts are sent to the UPI id or bank account in their profile every week.
Can I buy collection supplies?
Yes. Registered labs and phlebotomists can order tubes, needles and kits from the same account. A phlebotomist can pay from earnings or online.
