Most labs get home collection requests they cannot always serve. The demand is there. The coordination is what breaks.

From request to lab handover

One workflow from the patient's call to the sample on your bench.

Your lab does the testing and the reporting, as it does today. Collect runs the visit in between.

    Phlebotomists who cover that pincode see the job and one of them takes it.

    The patient reads out a 4-digit code. Name, age and fasting are confirmed before the draw.

    Tubes are labelled in front of the patient and photographed before the visit is saved.

    The sample is delivered to the lab

    The lab confirms receipt, or reports a problem with the sample, and the job closes.

Posting a collection

Everything the collector needs, entered once.

The form asks for what a phlebotomist needs to decide and to do the visit. It warns you about a late fasting slot, a window that is too short or an unusually large cash amount before you post.

Collection status

Know what happened without chasing every visit.

Each job card shows who took it, their standing and a number to call. The status moves as the phlebotomist works: assigned, on the way, at the patient, collected, delivered.

The patient's 4-digit visit code is on the card too, so you can read it out if the WhatsApp message did not reach them. Collect shows status changes, not a live location.

Sample problems

Received, or reported with a reason.

Check the tubes against the photo and the job, then confirm receipt. If something is wrong, choose the problem while confirming. PingMeDoc reviews it and adjusts the charge where the collector was at fault.

You are charged when a collection completes. A cancelled visit or a visit that could not collect is not charged as a completed collection.

If a job is not being taken, you can add a boost. It is added to your fee for that job and paid in full to the phlebotomist.

Questions

Questions from labs

Who can register as a lab?
Diagnostic and pathology labs, and hospitals or clinics that run their own lab and take home collections. You need a current lab registration or licence to be verified.
How is a lab verified?
You enter your lab details and upload your registration or licence. A NABL certificate and GST certificate are optional. PingMeDoc staff check the document against the lab name and address and call the contact number before the lab is verified.
How do I post a collection?
Open New collection in the lab portal and enter the patient's name and mobile, the address and pincode, the date and time window, the tests, the tubes, whether fasting is required and any cash to collect. The form can suggest tubes from the test names.
When does a phlebotomist see patient details?
Only after taking the job. Before that they see the area and pincode, the time window, the number of tests, the tubes, the fasting requirement, the cash to collect, the lab to deliver to and the earning. Name, phone, address and test names appear once the job is theirs.
What happens if nobody takes the collection?
The job stays open. After a waiting period the portal suggests adding a boost, which goes entirely to the phlebotomist, and PingMeDoc operations are alerted. Collect does not guarantee that every job is taken.
Can I cancel a collection?
Yes, until the sample has been drawn. Cancel as early as you can: once a phlebotomist has taken the job, a late cancellation costs them a trip, and frequent late cancellations are reviewed by PingMeDoc.
What if the sample has a problem?
Choose the problem when you confirm receipt: haemolysed, unlabelled, mislabelled, not enough sample, wrong tube, leaked, clotted or delivered too late. PingMeDoc reviews it and adjusts the charge where the collector was at fault.
Can I request a recollection?
Yes. A failed visit, a cancelled job or a completed job with a sample problem can be posted again with a new date and window. It returns to the pool as a new job.
Can my team use the account?
Yes. The lab owner creates an invite link for each staff member. The link works once and expires in seven days. Staff can post and follow collections; the lab profile stays with the owner.
Where can I see my statement?
Under Account and supplies in the lab portal. It lists each completed collection fee, cash collected at the door, supplies orders and payments, with the running balance.
